Purpose of the Role
As Programmes Administrator, you will provide vital operational and administrative support to ensure the smooth and efficient delivery of DiNN’s impactful learning and support programmes. You will work closely with the Programmes Coordinator and Senior Programmes Manager to help maintain excellent service user experiences, manage communications, and keep our systems and processes running effectively. This role is ideal for a highly organised and proactive individual who thrives in a detail-oriented, community-focused environment.
Key Responsibilities
Administrative Support & Organisation
Provide day-to-day administrative support to the Learning and Programmes team
Manage the shared inboxes, triaging and responding to enquiries in a timely and professional manner
Schedule and coordinate meetings, events, and internal planning sessions, managing calendars and booking logistics
Take accurate meeting notes and follow up on agreed actions with relevant stakeholders
Support in organising and maintaining documentation, digital files and programme materials
Programme Delivery Support
Assist in the preparation and execution of both virtual and in-person programme events, including booking venues, preparing resources, and liaising with speakers and trainers
Upload, format and update learning materials and course content on our digital platforms, including Mighty Networks and other learning management systems
Support the setup, maintenance, and user experience of project management systems like Airtable and Monday.com
Manage the collation and entry of data related to programme attendance, engagement, and outcomes
Communication & Community Engagement
Draft and send programme communications including onboarding emails, reminders, newsletters, and surveys
Maintain regular contact with programme participants and alumni, providing timely updates and support
Assist in the coordination of feedback collection and surveys, helping to analyse and organise responses for reporting
Monitoring & Evaluation
Keep programme trackers, attendance sheets, and monitoring tools updated and accurate
Support the analysis and visualisation of feedback and outcome data to inform internal learning
Help generate reports and summaries for internal stakeholders using programme data and insights
Cross-Team Collaboration
Work with Finance and Operations teams to support freelancer contracting and payment processes
Provide occasional support to communications and content creation activities related to programme delivery
Collaborate closely with the Programmes Coordinator to align on event preparation, engagement strategies and resource needs
Skills and Experience
Essential
Prior experience in an administrative, project support, or coordination role
Strong attention to detail and excellent organisational skills
Excellent written and verbal communication skills
Proficiency in Google Workspace and/or Microsoft Office tools
Ability to prioritise tasks and manage time efficiently across multiple projects
A proactive, solutions-focused attitude with a collaborative mindset
Desirable
Experience in the charity, community or social enterprise sectors
Familiarity with tools like Airtable, Monday.com, Mighty Networks or other CRM/LMS systems
Comfort supporting events, either in person or virtually
Basic data entry and analysis skills (e.g. working with spreadsheets, survey tools)

Annual leave – significantly above legal minimum with 28 days annual leave + bank holidays (contractual.)
Pensions - All eligible employees will be enrolled in the DiNN pension scheme except for those who have contracts of three months or less. DiNN contributes an amount equivalent to 3% of the basic annual salary. (contractual.)
