Purpose of the role

Do it Now Now is seeking a highly organised and proactive Finance, Governance and Operations Administrator. This is a cross-functional role that supports key organisational processes spanning financial administration, governance coordination, operations, IT support, and HR system maintenance. The postholder will play a vital role in ensuring smooth, compliant, and efficient internal operations.

Key Responsibilities and Duties

Finance Administration

  • Process supplier invoices, service user disbursements, staff reimbursements, and payment runs.

  • Post and reconcile bank transactions in Sage 50 Accounts Professional (experience with this system is essential and non-negotiable).

  • Maintain accurate financial records and documentation.

  • Support monthly bank reconciliations and statement postings.

  • Liaise with budget holders to resolve invoice and payment queries.

  • Assist with preparing financial reports as required by the Head of Finance.

  • Support preparation for audit and year-end processes.

  • Support with ad hoc finance tasks as required.

Governance Administration

  • Manage scheduling, logistics, and documentation for all Board and Committee meetings.

  • Ensure meetings are organised in a timely manner and scheduled at least two months in advance.

  • Prepare and circulate agendas, minutes, and supporting documents at least two weeks prior to meetings.

  • Record and distribute accurate and professional meeting minutes.

  • Monitor and follow up on action points to ensure completion.

  • Maintain an up-to-date calendar and records for Board of Directors (BoD) and Non-Executive Directors (NEDs).

  • Coordinate CPD training opportunities for Board Members and process stipend payments in line with policy.

  • Maintain governance records and policies, ensuring compliance with statutory requirements.

Operations and Admin

  • Support general operations tasks to maintain efficient administrative systems across the organisation.

  • Maintain and organise shared folders and documentation using Google Drive and other tools.

  • Provide general support to the CEO, Head of Finance and Resources and Head of People and Culture as required.

IT Management & Coordination

  • Support staff in engaging with external IT support when technical issues arise.

  • Create new email addresses and manage account access for external freelancers, staff and new joiners.

  • Close email accounts and revoke access when contracts (e.g. freelancers) come to an end.

  • Respond to requests for password changes and basic IT troubleshooting.

  • Coordinate cyber security and data protection training, ensuring completion across the team.

  • Maintain internal documentation and records relating to IT access, tools, and security protocols.

  • Liaise with external IT providers to ensure our systems are maintained and secure.

 HR Information System (HRIS) Maintenance

  • Support the Head of People & Culture in maintaining the HRIS.

  • Update employee records, leave balances, and contract statuses.

  • Ensure HRIS reflects accurate staff details and role changes.

  • Support onboarding and offboarding tasks within the system.

  • Help track key compliance items (e.g., right-to-work documentation, training records).

Person Specification

Essential Experience & Skills

  • Proven experience using Sage 50 Accounts Professional (non-negotiable requirement).

  • At least 2 years of experience in a finance or administrative support role.

  • Strong understanding of financial processes and good practice.

  • Excellent organisational skills with the ability to manage multiple priorities.

  • Exceptional attention to detail and accuracy.

  • Strong communication skills, both written and verbal.

  • Experience supporting Boards or Committees, including minute-taking and action-tracking.

  • Proficient in Microsoft Office Suite and collaborative tools (e.g. Google Workspace, Zoom, Doodle, Airtable, Monday.com).

  • Comfortable with managing user accounts and coordinating IT support and training.

Desirable

  • Experience in the charity, non-profit or social enterprise sector.

  • Understanding of governance, regulatory and compliance requirements for charitable organisations.

  • Experience with Xero accounting software.

  • Experience using Airtable and Monday.com software.
